Safeguarding Administrator - full time - office based
London and Surrounding areas.
Purpose of Role:
To support the Safeguarding and Housing Team by managing the administrative tasks required to ensure the safety and welfare of residents in asylum seeker accommodation. This role is pivotal in maintaining accurate records, facilitating communication between departments and external agencies, and ensuring efficient and compliant safeguarding practices.
Key Responsibilities:
1. Administrative Support:
Provide comprehensive administrative support for the Safeguarding lead and the safeguarding team, including handling phone calls, emails, and other communications related to safeguarding concerns.
2. Case Management:
Assist with managing a caseload of individuals, ensuring their files are up-to-date, secure, and compliant with data protection regulations.
3. Record Keeping:
Maintain accurate records of safeguarding incidents, interventions, and referrals. Ensure all records are stored securely and separately from main resident files.
4. Policy Adherence and Awareness:
Support adherence to safeguarding policies and procedures, ensuring all staff are informed of safeguarding roles, responsibilities, and reporting processes.
5. Meeting Support:
Arrange meetings, take minutes, and produce clear documentation of safeguarding team discussions, providing consistent records for the safeguarding team.
6. Data and Reporting:
Input safeguarding data into systems and maintain tracking spreadsheets, supporting efficient information retrieval and data analysis for reporting purposes.
7. Training Administration:
Assist in organising and tracking safeguarding training for staff, including scheduling, tracking attendance, and updating training records.
8. General Support:
Contribute to ongoing initiatives within the safeguarding team, including developing safeguarding materials, preparing reports, and supporting other projects as needed.
Qualifications:
* Minimum Level 2 qualification or equivalent, ideally with in social work/educational setting, administration, or a related area.
Experience:
* Previous experience in an administrative role within a safeguarding, social services, educational or housing setting.
* Proven experience in managing sensitive data and documentation securely.
* Familiarity with multi-agency collaboration and support services for vulnerable individuals is desirable.
Skills & Abilities:
* Strong organisational and time-management skills, with attention to detail.
* Proficiency in Microsoft Office Suite and comfortable working with data management software.
* Excellent verbal and written communication skills to interact with diverse stakeholders.
* Ability to handle confidential information with discretion and professionalism.
* Adaptability to work in a dynamic environment, meeting deadlines and responding to unplanned situations as they arise.
