The Executive Assistant (EA) provides administrative and secretarial support to the Managing Director and will also support the CEO with various administrative duties from time to time. The EA is required to organise, plan and ensure the smooth running of the day to day diaries/meetings, assess their needs and requirements by understanding business priorities and relationships.
 
As an EA /Executive Assistant you will need to have a trusting, open relationship with the CEO and all directors as well as maintain a strong working relationship with other departments in the business.
 
Key Duties as an EA / Executive Assistant are as follows:

Efficient calendar management, including meeting prioritisation, conflict resolution and room bookings.
Organise and schedule meetings.
Prepare meeting agendas, perform research for meetings, and take minutes.
Arrange business travel itineraries, including transportation and hotels.
Maintain office correspondence, including franking, receiving post and crafting routine electronic correspondence.
Collating PowerPoint presentations for meetings and VIP visits.
Liaise with clients and business guests and perform front-of-house duties when required.
Solve simple IT problems and contact the IT department when necessary.
Maintain electronic filing system, ensuring processes and software are up to date and in working order.
Liaise with other staff members on behalf of executive management.
Prepare and deliver monthly reports.
Perform reception duties such as answering phones where necessary,
Submit all expenses in a timely manner.
Any other duties as required by the line manager commensurate with the position  
The ideal EA / Executive Assistant

2 – 3 years’ experience within an EA role.
Experience of managing multiple senior members in a previous position
Impeccable interpersonal and communication skills.
Self-directed approach to work, whilst being adaptable and using own initiative.
Excellent time management and organisational skills.
Outstanding attention to detail and accuracy.
Delivers against expectations on or ahead of time.
Effectively tackles potential problems on own initiative.
Communicates in an open, candid, complete and consistent manner.
Is patient, tactful, diplomatic and approachable at all times.
Extremely discrete with an appreciation for sensitive and confidential matters.
