Job Description: Supply Chain & Logistics Coordinator (UK, China, Turkey)

Overview:

Supply Chain & Logistics Coordinator to manage the end-to-end supply chain process across the UK, China, and Turkey. This role involves liaising with factories and suppliers, managing stock procurement, and coordinating the logistics of inbound shipments. The ideal candidate will have strong communication skills, excellent problem-solving abilities, and experience in international logistics and supply chain management.

Key Responsibilities:

Liaising with Factories and Suppliers:

Communicate effectively with factories and suppliers in the UK, China, and Turkey to ensure smooth production and timely deliveries.

Address any production or quality issues, providing comprehensive reports and feedback to suppliers and factories for swift resolution.

Collaborate with suppliers to confirm packaging specifications and ensure adherence to agreed standards.

Stock Procurement & Buying:

Monitor and manage stock levels to meet the company’s inventory requirements.

Create and process Purchase Orders (POs) and track product orders to ensure timely delivery and accurate order fulfilment.

Work closely with the sales team to anticipate stock needs based on sales forecasts, market demand, and promotional activities.

Inbound Logistics & Container Planning:

Plan, organize, and manage the logistics of inbound containers from international suppliers.

Coordinate with freight forwarders to ensure efficient and cost-effective transportation.

Manage the documentation and compliance for import procedures, ensuring all goods are cleared through customs in a timely manner.

Currency and Cost Management:

Lock in and convert currencies with foreign exchange companies to minimize currency fluctuations and ensure competitive pricing.

Continuously evaluate transport and storage costs, identifying opportunities for cost reduction without compromising quality or efficiency.

Manage relationships with logistics providers and negotiate favorable rates for transportation and warehousing services.

Product Setup and Compliance:

Facilitate the setup of new products, including creating EANs and ensuring compliance with all relevant regulatory standards.

Organize offsite storage when necessary, ensuring optimal stock distribution and storage cost management.

Oversee the packaging and labeling of goods, ensuring all specifications meet legal and market requirements.

Reporting & Documentation:

Prepare regular reports on stock levels, inbound shipments, and order statuses to share with the wider team, particularly sales and management.

Maintain up-to-date records in order tracking sheets, including predicted pricing updates and production forecasts.

Constantly monitor order trackers, adjusting production timelines to align with sales patterns and inventory needs.

Sales & Forecast Collaboration:

Hold regular meetings with the sales team to align inventory orders with expected demand, predicted sales, and promotional plans.

Adjust production schedules by slowing down or speeding up orders based on real-time sales data and updated forecasts from the sales team.

Problem Solving & Continuous Improvement:

Quickly address and resolve supply chain disruptions, quality issues, and logistical bottlenecks to minimize downtime.

Proactively look for ways to reduce costs and improve efficiencies throughout the supply chain, including transport, storage, and packaging solutions.

Identify and implement cost-saving initiatives across purchasing, logistics, and product development.

Compliance & Regulatory Reporting:

Manage and ensure adherence to all relevant compliance schemes and regulations, including the Waste Electrical and Electronic Equipment (WEEE) directive.

Prepare and submit accurate reports on WEEE compliance and other regulatory requirements.

Stay up-to-date with changing legislation and compliance rules across regions and incorporate them into business processes to ensure full legal compliance.

Visiting Factories and Supplier Engagement:

Occasionally travel to factories and attend key events to meet suppliers, ensuring strong relationships and maintaining quality standards.

Engage directly with key personnel involved in the supply chain to better understand production challenges, opportunities for improvement, and innovations that can optimize the supply chain.

New Product Introduction & EAN Setup:

Assist with the introduction of new products, creating the necessary EANs, and ensuring all logistical aspects (packaging, storage, and transport) are prepared for the product's market launch.

Cost Reduction & Transportation Optimization:

Continuously seek ways to reduce transportation and storage costs without compromising efficiency, quality, or delivery times.

Work with transport providers to ensure goods are moved efficiently and cost-effectively to their final destination.

Other tasks:

Occasionally, additional tasks may arise, and you may be assigned responsibilities by management or directors outside of your core duties
