The Contract and Budget Administrator role:
Working within the Facilities and Infrastructure (F&I) team, you will be supporting and coordinating activities that support the F&I team under the guidance of the Head of Engineering Projects. As a Contract and Budget Administrator, your role will involve oversight of finance administration, including acting as the central source for raising purchase orders, ensuring invoices are accurate and processed on time using Workday.
You will also be assisting in the forecasting and monitoring of team budgets and supporting the preparation and monitoring of the annual F&I budget tracking spend against budget to ensure F&I meets budget targets in line with our functional plan.
What you will be doing…
As a Contract and Budget Administrator at the Crick, you will:
Oversight of all F&I purchase orders and service partner contract activities, working with Head of Engineering Projects to assign duties and assisting the team so that required tasked are completed in an orderly and timely manner.
Work as the team lead in F&I to raise and process orders on the Workday sourcing system. Including, purchase order raising, related invoice queries and running reports for team heads within F&I as requested.
Prepare and implement a plan for monitoring activities related to the budget and administrative workload.
Review F&I processes and procedures. Seeking ways to improve accuracy of reporting and opportunities to increase effectiveness.
Overview of spend, monitoring the purchases made not on the main purchasing system, reviewing and analysis of expenditure. Seek to make recommendations where efficiencies can be made.
Coordinate onboarding and engagement of consultants/consulting firms in accordance with the Crick’s rules and procedures and follow-on payment of fees for services rendered
Skills and experience we are looking for in our Contract and Budget Administrator????:
Educated to degree level or equivalent
Experience of working in a structured environment and a good understanding of the project lifecycle
Awareness of budget control and purchase ordering processes; ideally this would be in the facilities or estates teams.
Awareness and experience of project contract management; within an FM service delivery and on minor/major projects
Experience of building relationships and collaborating with a broad set of stakeholders - to Head of Department level as norm, and Director by exception
Experience of tracking and prioritising workload
Comfortable working in a dynamic, fast paced environment, with the ability to work effectively both independently and within a team
