Apple Recruitment are recruiting for an Administrative Assistant – Band 4 on behalf of HSCNI Strategic Planning and Performance Group (SPPG).

Job Purpose:

Accountable to the Health Minister, the SPPG plans and designs a range of health and social care services that deliver high quality and safe outcomes for patients and service users, are good value for the taxpayer, and comply with statutory duties.

The post holder will form an integral part of the Business Management Team within the Hospital Care directorate, with the responsibility of ensuring the efficient and effective delivery of the administrative function within the team. This role will require the post holder to fulfil high level administrative duties on behalf of the Assistant Director and senior managers.

Job Description:

* To be responsible for ensuring all staff training within the team is fully completed.

* To hold responsibility for ensuring adherence to the relevant information governance procedures and policies within the team.

* To be responsible for the development, input management and maintenance of the databases for revenue and capital business cases.

* To liaise with the Assistant Director and Senior Managers in relation to the delegation of any requests for information receive from the NI Assembly and to ensure responses are reviewed and submitted within the agreed timeline.

* To establish and maintain effective communication systems within the team and other directorates both internal and external to the organisation.

* To develop, organise, manage and maintain secure filing systems both manually and electronically in line with Good Management/Good Records guidelines and office standards.

* To service all meetings including the preparation and timely issue of agenda and papers, production of minutes and progression of business.

* To be responsible for initiating and following up actions arising from various meetings

* To plan and co-ordinate conferences, workshops and events involving liaison with a wide range of stakeholders such as service users and carers and national experts (this includes arranging appropriate venues, co-ordinating travel arrangements, hospitality and resources).

* To organise travel arrangements for the Assistant Director and senior managers including booking flights, transfers, hotels and meeting accommodation as well as preparation of itineraries.

* To undertake typing and word processing duties as required including minute taking

* To maintain diaries, make appointments and arrange meetings as required.

Essential Criteria:

1a) 2 A-Levels and 5 GCSEs (Grade A-C) or equivalent including English and Maths AND 18 months administrative/clerical experience

OR

1b) 3 years administrative/clerical experience

2) 2 years’ experience in high level word processing (report writing, spreadsheet maintenance etc.)

3) Have an excellent knowledge of Microsoft Powerpoint, Word, Access and Excel

4) Excellent interpersonal skills

5) Ability to communicate fluently and effectively both in writing and orally with other agencies, members of staff and all grades of staff

6) Ability to work efficiently and effectively under pressure

7) Ability to work as part of a team and to use own initiative

8) Good organisation and time management skills with the ability to plan and organise work to deliver high quality work within tight timescales

9) Ability to understand and analyse problems and devise practical and creative solutions

10) Have a responsible attitude to dealing with sensitive and confidential information

* Hourly Rate: £12.86

* Duration: 6 months
