In this role, no two days will be the same. You play an important role in ensuring smooth operations by managing diaries, handling communications, and supporting various administrative functions across HR, Sales, and the wider business.
Role & Responsibilities:
Organise and manage the Head of HR and Sales Director’s schedules, ensuring appointments, meetings, and deadlines are well-coordinated
Manage inboxes as required, prioritising emails, drafting responses, and ensuring timely follow-ups
Handle general office tasks such as placing orders, hosting guests, liaising with site security
Support the coordination of office facilities, ensuring smooth daily operations, including office supplies, kitchen/catering supplies, cleaning contracts etc
Updating internal communication channels and working with the Design team to create exciting and informative content to share
Assist with the planning and organisation of company events
Liaise with vendors, book venues, manage event logistics, and ensure all arrangements meet the company’s standards
Attend key meetings with the Head of HR and Sales Director, take accurate minutes, and follow up on action points
Organise domestic and international travel arrangements, including flights, accommodation, and itineraries
Ensure travel arrangements align with company policies and manage any changes or adjustments as needed
Handle sensitive and confidential information with the utmost discretion and professionalism, particularly within HR matters
Ensure that all information is securely stored and managed
Essential Skills and Requirements:
Proven experience in a similar, administration-based role.
Strong organisational skills, with the ability to manage multiple tasks and prioritise your own workload.
Excellent communication skills, both written and verbal, with attention to detail.
High proficiency in Microsoft Office, especially Excel, Word, and Outlook.
A proactive, self-motivated attitude with the ability to work independently and collaboratively.
Flexibility and willingness to take on various tasks and adapt to changing demands.
Ability to handle sensitive information with integrity and confidentiality.
A keen eye for details
Driving licence/own car required due to multi-site business set up (any business milage incurred will be reimbursed)
Hours of work: 8.30 am – 4.30 pm or 9.00 am – 5.00 pm
