Role Overview:
The Procurement Administrator will assist the Senior Procurement Manager in sourcing, managing orders, and supporting logistics, particularly in coordination with clients in India. This internal role combines key administrative tasks with hands-on procurement responsibilities, including maintaining inventory levels, order processing, and facilitating smooth logistics operations. The ideal candidate will bring prior experience in procurement or supply chain roles and familiarity with the aerospace or defense sectors.
Key Responsibilities:
1. Enquiries and Supplier Coordination
Assist in sourcing materials and components, prioritizing collaborations with suppliers in India to meet project specifications.
Generate supplier enquiries, collect essential product data, and log updated pricing information.
Maintain enquiry logs, fostering efficient record-keeping and ongoing relationships with Indian suppliers.2. Quotation Management
Prepare quotations for various aerospace and defense projects, coordinating with Indian suppliers for cost-effective solutions.
Work with the Senior Procurement Manager to authorize customer markups, verify accuracy, and ensure documentation aligns with Indian and international standards.
Collect and organize technical details and data sheets for compliance and customs.3. Purchase and Sales Order Processing
Generate and track purchase orders to ensure timely procurement of materials, especially from Indian sources, to meet project requirements.
Conduct checks on sales orders for accuracy and coordinate with the finance team for invoicing.4. Logistics and Shipment Coordination
Schedule collections, coordinate with couriers, and arrange shipments, focusing on smooth logistics for cross-border projects.
Track and report on shipment statuses, ensuring on-time delivery and proactively addressing any logistics issues that may arise with Indian suppliers or customers.
Ensure efficient inventory management to meet project demands, keeping records updated to maintain optimal stock levels.
Qualifications and Skills:
Education: Relevant educational background or equivalent experience in procurement or supply chain is beneficial.
Experience: 2+ years in procurement or supply chain roles, ideally with experience in the aerospace, defense, or advanced engineering sectors. Familiarity with Indian markets is highly valued.
Technical Skills: Proficient in MS Office (Excel, Word, Outlook) and ERP or stock management systems.
Attention to Detail: Strong accuracy in data handling and adherence to complex order requirements.
Communication Skills: Excellent written and verbal communication skills for effective coordination with Indian and global suppliers.
Organisational Skills: Ability to multitask and prioritize within a fast-paced, international environment.
