Role: Assistant Services Co-ordinator
Location: Caerphilly
Hourly rate:- £11.67 per hour - 37.5hrs per week
Status: Temporary to permanent
Our client, a leading company based in Caerphilly, is on the lookout for a proactive and dependable Assistant Services Co-ordinator. In this role, you will be the backbone of the service team, providing essential administrative support to the Service Manager, managing engineer schedules, and ensuring smooth operation of field service bookings and reactive call-outs. Your ability to communicate effectively with various stakeholders, from Project Managers to Subcontractors, will be key to maintaining strong relationships with clients and ensuring their needs are met promptly.
Key Responsibilities:
* Provide administrative support to the Service Manager, managing field service visit bookings and engineer calendars using bespoke software.
* Manage specific key accounts as required.
* Attend client review meetings and prepare necessary documentation.
* Liaise effectively with Project Managers, the Contracts Manager, and Subcontractors for various projects.
* Handle telephone queries from clients, recording messages and managing requests.
* Support implementation of field service management software through accurate database updates.
* Collaborate with internal teams (sales, technical) and external stakeholders to ensure seamless service delivery.
Requirements:
* Proven experience as an Office Administrator or Business Support in a customer service-driven environment.
* Strong knowledge of MS Office and experience with field service management systems.
* Ability to adapt to bespoke software and demonstrate accuracy in database management.
* Excellent communication skills with a focus on building strong relationships.
* Familiarity with SLAs and KPIs.
* A track record in service co-ordination with a flexible work approach.
* A methodical style with the ability to prioritise tasks under pressure.
* Possess tact and empathy in customer interactions.
* Reliable, punctual, and a team player within a busy fire safety environment.
