About the Role:
We are seeking a friendly and professional receptionist to join our team in Witney. As the first point of contact for our visitors, clients, and employees, you will play a crucial role in maintaining a welcoming and efficient environment. Your responsibilities will encompass providing exceptional customer service, managing the reception area, and ensuring the smooth running of our office.
Key Responsibilities:
* Warmly greet and assist visitors, clients, and employees, ensuring adherence to all relevant safety protocols and regulations
* Answer phones and emails promptly and professionally, providing accurate information and routing inquiries appropriately
* Manage incoming and outgoing mail and packages, adhering to strict procedures for handling confidential medical information
* Maintain a clean, organized, and professional reception area, prioritizing the safety and well-being of all visitors
* Schedule meetings and appointments for team members, ensuring smooth flow of information and efficient meeting organization
* Provide administrative support as needed, including document preparation, data entry, and filing
* Ensure compliance with all company policies and procedures, particularly those related to data privacy and confidentiality in the medical device and healthcare industry
* Contribute to a positive and collaborative team environment, fostering a welcoming atmosphere for both colleagues and visitors
Essential Skills and Qualifications:
* Excellent communication and interpersonal skills, with a clear and professional demeanour
* Strong organizational and time management abilities, capable of prioritizing tasks and managing multiple requests effectively
* Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
