Proposal Coordinator
Our team comprises of bid, proposal, visual communications, and knowledgebase professionals across our UK offices. This role focusses specifically on the proposal element of the overall bid lifecycle.
Working closely with the wider team members and reporting into a Senior member of the team, this role will involve:
Creating proposal responses led by our key Work Winning community who are based in our UK offices.
Creating new copy for marketing materials such as project sheets and CVs
This role will form part of a wider Business Development team based across the Bath, London, Leeds, Manchester and Edinburgh offices, therefore willingness and ability to travel occasionally to these offices is required.

Key duties of the Proposal Coordinator
Operations
The main focus of this role will be across three key areas:
Proposal Co-ordination
* Ensure all new proposals follow the UK Bid Request process before agreeing to support
* Review tender documentation identifying requirements and deadlines, and raising potential issues
* Check the Commercial and Legal Team (CLT) is informed where necessary to ensure that contractual / legislative requirements are met
* Participate in Bid Kick-Off meetings for significant bids to capture the win themes, key team members, case study projects and support the preparation of the bid timeline
* Adhoc research as required, particularly around organisations and project opportunities to better inform the proposal creation
* Review input to proposals from technical teams against the clients criteria, highlighting any potential gaps in information, and ensuring we have understood the client’s requirements and developed a tailored and focused response
* Ensure that all proposals are well written, compliant with what the client has asked for, and are in line with agreed themes and the Buro Happold brand and our corporate message
* Collate tender documents – ensuring accuracy of input, proof-reading and spell checking
* Communicate and co-ordinate graphic requirements with the UK Visual Communications team
* Assist in the design and production of material relating to the client presentation stage of the bid process.
Pipeline Support
Ensure the progress of all bids are accurately recorded on our Customer Relationship Management (CRM) system.
Best Practice Capture and Sharing
* Capture and share model answers and refined project descriptions to feed into our Bid Response Library
* Collate, share and disseminate best practice and lessons learned from bid feedback.
Finance
* Ensure fee information on our bids is entered in CRM
* Liaise with project operations and finance teams to ensure accurate fee information is maintained, along with status updates of the bids (win / loss).
* Be aware of the rates per grade to check for accurate inclusion in bids.
Reporting
Become one of the CRM champions for the business unit to aid accurate reporting
Your skills and experience for the Proposal Coordinator
* Previous proposal / bid co-ordination experience and strong copywriting and copy-editing skills
* Strong organisational skills and ability to multi-task
* Previous experience of coordinating and managing tight deadlines
* Excellent computer and IT skills including; Adobe Design Standard (InDesign specifically), Outlook, Word, Excel, PowerPoint and experience of using spreadsheets and databases
* Previous experience within an architectural practice, construction or engineering industries would be an advantage. (Typically 3-5 years relevant experience)
