Key Responsibilities
Management of Internal Invoicing Process
Ensure all invoices are loaded, processed, and authorised on a timely basis.
Collaborate with accounts payable and vendors to ensure prompt submission.
Provide ad-hoc analysis on benefits spending and payments, along with regular reporting.Event Coordination Support
Support the team with event scheduling, including issuing employee communications.
Prepare venues and ensure event materials are available across all locations.
Host in-person events, such as assisting with Q&A sessions.
Gather and analyse information on event participation.
Coordinate scheduling and organisation of large vendor meetings.Benefits
Manage the Benefits escalation mailbox:
Monitor responses, track metrics, and ensure timely replies.
Address basic benefits queries and provide appropriate responses.
Develop and update Benefits FAQ documents.
Update benefits booklets, policies, and intranet sites as changes occur.
Liaise with third-party administrators to resolve benefits-related queries.
Track benefits risks and issues on the internal risk log.
Draft presentations and communications for employee distribution.
Maintain the team communications plan, compile all communications, and create a calendar to share with stakeholders.Skills Required
Understanding of UK and Ireland benefit programs is desirable but not essential.
Experience within large multinational or complex organisations.
Strong numeracy skills, with proficiency in Excel.
Highly organised with the ability to prioritise and manage a full workload.
Proficient in Microsoft 365, with strong skills in Word (e.g., mail merge), PowerPoint, and Excel (basic formulas).
Excellent written and verbal communication skills.
Strong problem-solving ability with initiative to work independently.
Team-oriented, with a collaborative approach to working within a team
