The opportunity
Are you ready to roll up your sleeves and make a real impact? As Millbank continues to grow and evolve, we're on the lookout for a proactive and organised Group Business Support Coordinator to join our team! This is a fantastic opportunity for someone with a knack for admin, a love of compliance, and a passion for helping things run smoothly. You'll play a key part in supporting ISO compliance, tracking processes, assisting with audits, and helping to keep everything ticking over in our busy, fast-paced environment. If you like variety, problem-solving, and working across multiple teams, this role is for you!
What You'll Be Doing
Administrative Support (Your Superpower!)
Provide top-notch administrative support to our Group Business Support and Compliance Manager – you'll be their right hand!
Help with drafting, editing, and reviewing ISO compliance documents (yes, you’ll become an ISO expert in no time!).
Organise and coordinate internal and external communications on everything from compliance updates to business support activities.
Keep our filing systems neat and tidy (we love a bit of organisation!) and ensure all docs are up to date and in tip-top shape.ISO Compliance Assistant (You're the Compliance Hero)
Help ensure all documents are ISO-compliant, meeting both our standards and legal requirements – keeping us in line!
Be the behind-the-scenes mastermind for internal audits – keep those schedules on track and make sure corrective actions happen.
Support external ISO audits by gathering materials and ensuring all our ducks are in a row.
Assist in creating fun, informative training materials that help everyone get on board with ISO standards and compliance.Process Improvement & Support (You’ll Make Things Better!)
Track and document business process improvements (you’ll be the eyes and ears of our efficiency heroes).
Help introduce new processes and procedures that make our operations run smoother (because we all love a little smoothness!).
Stay on top of performance monitoring, spotting areas where we can improve, and helping to put those solutions into action.Compliance Tracking & Reporting (You're the Detail-Oriented Pro)
Stay on top of ISO standards, GDPR, and all the rules and regulations – keeping our company compliant and stress-free.
Assist in preparing reports and documentation for the big bosses and external auditors (no pressure!).
Keep our compliance records up to date and ensure every box is ticked.Health & Safety Support (Safety First, Always)
Be the hero behind the scenes of health and safety documentation – risk assessments, incident reports, and safety training records are all in your capable hands.
Support the Group Business Support and Compliance Manager in making sure we meet industry regulations and best practices.
Help organise safety audits, inspections, and risk assessments to ensure everyone’s working in a safe, healthy environment.
Get involved with organising safety training and ensuring that everyone’s up to speed on the latest health and safety protocols.
Track and report any health and safety incidents – we like to nip problems in the bud!Building & Facilities Management Support (A Place for Everything!)
Help keep our office spaces in perfect condition – you’ll assist with maintenance requests, ensuring everything is fixed and functioning.
Keep building safety procedures running smoothly (fire drills, emergency exits – the whole shebang!).
Manage the nitty-gritty details like building inspections and liaising with contractors for cleaning and maintenance.Team & Stakeholder Support (All About the Teamwork)
Be the go-to person for scheduling training sessions, workshops, and team activities related to ISO compliance and process improvement.
Keep the communication flowing smoothly between departments – you’ll be the link that keeps things connected!
Help ensure compliance and process improvements are being achieved across the organisation.What We're Looking For
Experience: At least 1-2 years in an administrative or support role (bonus points if you've worked with compliance or operations before!).
Passion for Compliance: You love a good challenge, and ISO compliance is right up your alley!
Organisational Ninja: You can juggle multiple tasks without breaking a sweat – your attention to detail is top-notch.
Communication Whiz: Whether it’s in person, on the phone, or over email, you communicate clearly and professionally with everyone.
Problem Solver: You don’t shy away from challenges – instead, you dive in and find solutions that work.
Tech-Savvy: You’re comfortable using Microsoft Office Suite (Word, Excel, PowerPoint) and any other admin tools that come your way.
