Job Title: Estates Contracts, Compliance and Procurement Manager

My client, an iconic Theatre in the heart of London is seeking an experienced Facilities & Estates Manager to manage and maintain the Estates Contracts and compliance across the two Grade 2 listed buildings.

The Estates team is made up of 6 departments.

All the 1st line hard services are in house but have around 40 contractors, 10 of which are quite big that comprise of Lifts, Fire, Security, M&E etc

The role will have 3 reporting to the postholder and then you would report directly into the Head of FM.

Key Responsibilities:

Manage, maintain, and monitor contracts across the Estates Team, ensuring optimal outcomes from outsourced services.
Work closely with various departments within the Estates Team to ensure a holistic approach to compliance, contract management, and procurement.
Seek best service, practice, and costs from contractors, and ensure compliance visits are recorded.
Use the CAFM system, Concept, to maintain records and improve efficiency and compliance tracking.
Responsible for getting competitive quotes and analysing markets when working on tenders and ordering goods and services.Duties:

Contract Management: Maintain an up-to-date Estates contracts register, monitor contract dates, carry out tender processes for new contracts, and monitor contractor visits and invoicing.
Compliance: Maintain an effective compliance monitoring function, keep up to date with relevant regulations, assist with the onboarding and record-keeping process for contractors, and arrange training for staff responsible for statutory compliance.
Asset Management and CAFM System: Manage the asset management and compliance modules of Concept, keep the CAFM asset list up to date, and use the CAFM system for scheduling and monitoring contractor site attendance.
Procurement: Support Estates to develop tender information, test the market when getting quotes for goods and services, and define financial instructions with the support of the Estates Heads of Departments.
Risk: Maintain and update the Estates risk registers.
Line Management: Supervise the Help Desk service and line manage the Help Desk operatives.
Administration: Support Estates with administrative, programming and coordinating tasks across the department.Person Specification:

Essential: Demonstrable experience in a similar role, understanding of contracts, compliance and procurement in an estates function, experience of monitoring contracts, excellent IT skills, experience of working with a CAFM system, experience in working with a range of providers of building maintenance and compliance, experience of dealing with senior leaders, colleagues, and contractors, experience in managing tenders and developing tender information, strong awareness of health and safety procedures and practices.
Desirable: Experience of working on or managing a Help Desk, ability to build and maintain positive working relationships, ability to articulate clearly and concisely, previous experience of successfully line managing and leading a team, previous experience of administration in a similar type of role, a flexible attitude, good attention to detail, demonstratable ability to use initiative, able to prioritise workload and manage deadlines effectively.Salary up to 45k + some great benefits
