We’re looking for a Secretary (Dispute Resolution) to join our team in Bury St Edmunds, Suffolk.

About the role:

You will be supporting our lawyers by providing efficient and effective secretarial and administrative support, always ensuring the highest standards of service. Your dynamic, detail-oriented nature and ability to multitask in a fast-paced environment will be key to your success.

Main Duties and Responsibilities include:

Accurately type letters, forms, attendance notes, briefs to counsel, invoices, and other documents, including audio transcription.
Maintain client, case, and contact details in our practise software and complete online submissions.
Assist the team’s lawyers in managing their schedules proactively.
Handle enquiries via phone and in person, recommend appropriate services, and ensure follow-ups.
Field and take calls from clients and third parties, relay messages, and ensure actions are taken promptly.
Enter key dates in departmental and central diaries, monitor diary notes, and inform of forthcoming events and deadlines.
Open and maintain electronic and paper files, conduct conflict checks, onboard clients, and assist with file closures post-case resolution.
Prepare draught forms and documents using case file information.
Assist in collating documents for court and other bundles using appropriate software.
Prepare reports from practise software for billing and regular reviews.
Always respect client confidentiality.
Provide support to other team members as required, including reception cover.

About you:

You will be a highly organised and proactive individual with a minimum of 3 years secretarial Possess excellent verbal and written communication skills, demonstrating confidence, clarity, and courtesy in all interactions. You should be adept at multitasking, managing various requests simultaneously while maintaining high standards of quality and productivity. A methodical and accurate approach is essential, especially under tight deadlines. Proficiency in Microsoft Office, particularly Word, Outlook, and Excel, along with a typing speed of at least 60 words per minute is required. We value a client-focused mindset, with a professional and welcoming demeanour, and a readiness to recommend services that fit clients’ needs. Initiative and problem-solving skills are essential, as is the ability to identify areas for improvement and escalate issues when necessary while maintaining strict client confidentiality.
