Project Coordinator role Purpose
The Senior Project Co-ordinator plays an essential role in overseeing the smooth running of multiple assignments, liaising directly across high profile candidates, and clients to ensure that expectations around delivery are set and managed effectively. This role is also accountable for operating as an Executive Assistant to the Practice Lead in their area, and supporting the Team Leader to ensure that they have visibility of pipelines of activity are closely monitored within their Practice area
Business Development & Project set up.
* Review workload and potential business wins within the Practice, ensuring timetables are designed and resources are allocated.
* Attend client set up meetings with Consultants where appropriate, taking the lead on agreeing timetabling and any packs or resource requirements.
* Send out client agreements forms
* Agree and provide supportive challenge where timetables and commitments are unrealistic
Intelligent Resourcing
* Oversee the resourcing of assignments within your Practice area, coordinating with others within the team to ensure internal resource is utilised and assigned appropriately.
* Schedule briefing time and evaluation time with associates at the beginning and end of assignments.
Project Co-ordination & Delivery
* Monitor and drive the progress of each search, ensuring that paperwork is prepared and delivered within agreed timeframes at each stage of the process.
* Send reports to clients in preparation for the preliminary/final panel interviews. Speak with the client to understand pack requirements and deadlines.
* Speak to candidates to arrange a preliminary and/or final panel interviews
* Set up online assessments where required, calling candidates to brief them so that they understand what to expect
* Ensure that the CRM is updated at all times and that candidates are progressed through to the relevant parts of the process.
Driving Quality and Continuous Improvement
* Support candidates where required throughout the application process
* Send feedback requests for shortlisted, appointed candidates and relevant client contacts
* Update centrally saved workload planner to allow visibility of workload peaks
* Co-ordinate post assignment reviews
* Review feedback from associate and work with Practice Leads to ensure that feedback is shared appropriately with Consultants.
* Make recommendations for new ways of working which drive improved experience, quality of efficiency
Executive Assistance (Practice Leads)
* Monitor consultant emails during periods of absence
* Co-ordinate training requirements across the team, liaising with HR for support where appropriate.
* Co-ordinate agendas for regular team meetings, ensuring that appropriate diary arrangements are made.
* Support with internal queries and fact finding to support business improvement.
* Make appropriate diary & travel arrangements for the Practice Lead, proactively flagging where there are conflicting priorities.

Key Experience
* 3 years minimum working within professional services in a client centric environment in a similar role.
* Experience of providing successful project administration & support in a dynamic business function.
* Ability to understand commercial requirements, demonstrating a proven ability to meet expectations, whilst balancing busy workloads and multiple assignments and priorities.
* Knowledge of best practice in terms of developing administrative procedures and processes.
* Strong IT skills and an affinity with learning internal systems
* Ability to prioritise and balance constantly changing and conflicting requirements
