Job Description: Shipping and Logistics Coordinator

We are seeking a highly organised and detail-oriented Shipping and Logistics Coordinator to manage and optimise our import/export operations and ensure seamless coordination with freight forwarders.
Key Responsibilities
Import/Export Coordination:
* Manage all aspects of import and export operations, ensuring compliance with international trade regulations and company policies.
* Prepare and review shipping documentation, including bills of lading, commercial invoices, packing lists, and certificates of origin.
* Coordinate customs clearance processes with freight forwarders, ensuring timely and accurate filing of documentation.
* Monitor duty, VAT, and tariff regulations to minimize costs and ensure compliance.
Freight Forwarder Management:
* Develop and maintain strong relationships with freight forwarders, carriers, and shipping lines to secure competitive rates and ensure reliable service.
* Negotiate shipping terms, schedules, and routes to meet delivery deadlines and optimise costs.
* Track shipments in transit and resolve any delays or discrepancies promptly.
Operational Excellence:
* Collaborate with internal teams (e.g., sales, production, and inventory management) to align shipping schedules with customer requirements and production timelines.
* Maintain accurate records of shipping activities, costs, and performance metrics for reporting and analysis.
* Identify process improvements to enhance supply chain efficiency and reduce costs.
Regulatory Compliance:
* Ensure compliance with international trade laws, including customs regulations, export controls, and documentation standards.
* Stay up to date with changes in import/export regulations and advise internal stakeholders on potential impacts.
Problem Solving:
* Investigate and resolve issues related to shipping delays, damaged goods, or lost shipments.
* Provide proactive communication to internal and external stakeholders regarding shipment status and resolutions.
Qualifications and Skills
Education & Experience:
* Previous experience in shipping or logistics, preferably with a global manufacturer or distributor.
Technical Skills:
* Proficient in ERP systems and logistics software (e.g., SAP, Oracle, or equivalent).
* Good knowledge of Incoterms, customs procedures, and international trade regulations.
* Advanced Excel skills for data analysis and reporting.
Skills:
* Exceptional organisational and multitasking abilities.
* Strong communication, and problem-solving skills.
* Ability to work effectively in a fast-paced, deadline-driven environment.
