Background

This role provides a critical service to the ACCESS Director, Contracts Manager and Client Manager on specific project and development work. The role requires a collaborative style, the ability to deal with multiple stakeholders, a flexible approach and efficient responses to rapidly changing demands and priorities.

Duties include administrative support for delivery of vital bespoke projects and initiatives. Key elements include managing the programme of multi-partner meetings/committees, organising these meetings, maintaining contact lists and invitations, forward planning, minute taking, and action tracking.

You may need to support with the logistics of events (e.g. room, venue, and travel bookings), and must maintain key documents and resources including agendas, intranet information pages, notes and minutes etc.

This is an excellent opportunity for somebody who wants to work towards a higher-grade role and develop as part of a strategic programme liaising across multiple partners.

Key skills and characteristics

* Able to support meetings, workshops, and communications including scheduling, booking, preparing agendas, minuting, capturing & tracking actions within agreed timescales

* Can lead production, collation and distribution of accurate draft agendas, reports, and minutes (as well as other key documents) to appropriate colleagues and stakeholders in a timely manner

* Can maintain & store appropriate documentation of policies, processes, guides etc. in line with GDPR requirements & ECC policy

* Excellent communication skills with good IT knowledge of MS Office & other programs (including Teams, Outlook, Excel, Word, PowerPoint, One Note, and Adobe Acrobat)

* Behaviours – organised, takes initiative, proactive, seeks clarification, keen to learn, able to work under pressure and manage own workload, has an improvement mindset, willing to consider new approaches, able to absorb complex information

* Interest and ability to understand the needs perspectives of different partner agencies

* Local Government Pension Scheme experience is not essential but would be desirable.

Additional information

All work is usually carried out within Mon-Thurs, 9-5 office hours. Flexibility outside of these times may be needed to reflect specific projects.

The majority of work can be carried out remotely but there will be a need to attend County Hall and occasional meetings in London* when required. *Roughly 3 meetings quarterly with normal travel expenses paid. There may be some flexibility on the amount of meetings needed.

The role will be task managed by the ASU team
