Admin and Clerical Assistant 37 hours per week
Our Client in S2, Sheffield are seeking to appoint an Administration and Clerical Assistant to be the first point of contact for pupils, parents and visitors as well as undertaking general administrative tasks. The successful candidate will be required to provide a welcoming reception service.
We are looking for someone who is customer focused and understands the importance of providing an excellent 'front of house' service with the following qualities:
understands the role of the admin team within a school setting
is a team player and able to demonstrate flexibility and adaptability to meet the needs of the School
has exceptional interpersonal and communication skills, both written and oral
is able to prioritise workload, meet deadlines and maintain high standard of work under pressure,
has good IT skills including a good working knowledge of Word, Excel and willingness to learn other school software packages.
has experience of maintaining manual and computerised records and can undertake routine financial administrationQualifications desirable but not essential are -
Studied to a minimum standard of GCSE (grade A* - C), or equivalent, in English and Maths
Further education qualifications in related fields, e.g.: NVQ Business Administration ● Willing to undertake first aid trainingSkills & Knowledge
Able to use SIMS
Knowledge of SCHOOLCOMMS or similar parent messaging E E Dsystem
Able to use MS Office programs particularly Word, Excel and Outlook
Able to work to tight deadlines, managing and prioritising time E EEffectively
Self-starter, with and ability to work independently & use initiative to overcome obstacles
Efficient and meticulous in organisation
Ability to produce letters from basic informationThe Role -
MAIN DUTIES AND RESPONSIBILITIES
DUTIES
Organisation
Undertake reception duties, answering general telephone and face toface enquiries and signing in visitors
Assist with pupil first aid/welfare duties, looking after sick pupils, liaisingwith parents/staff etc.
Assist in arrangements for schools trips, events etc.Administration
Provide general clerical/admin. support e.g. photocopying, filing, faxing,complete standard forms, respond to routine correspondence
Maintain manual and computerised records/management informationsystems
Produce lists/information/data as required e.g. pupils data
Undertake typing and word-processing and other IT based tasks
Take notes at meetings
Sort and distribute mail
Undertake administrative procedures
Maintain and collate pupil reports
Undertake routine administration of school lettings and other uses ofschool premises
Resources
Operate relevant equipment/ICT packages (e.g. word, excel,databases, spreadsheets, Internet)
Maintain stock and supplies, cataloguing and distributing as required
Day to day operation of uniform/snack/other 'shops' within the school
Provide general advice and guidance to staff, pupils and others asappropriate
Undertake general financial administration as appropriate e.g. processing ordersRESPONSIBILITIES
Be aware of and comply with policies and procedures relating to childprotection, health, safety and security, confidentiality and data
protection, reporting all concerns to an appropriate person
Be aware of and ensure equal opportunities for all
Contribute to the overall ethos/work/aims of the school
Appreciate and support the role of other professionals as appropriate
Attend and participate in relevant meetings as required
Participate in training and other learning activities and performancedevelopment as required
(The School name is Norfolk Community Primary School in S2 Sheffield)
Previous experience in a similar role and/or experience of working in a school or academy trust environment would be a great start but this is not essential
