Purpose of the job:
As Agreement Coordinator - Lettings, you will provide comprehensive support to Divisional Business Units, taking full responsibility for the administration of the legal agreement process, from business plan stage through to completion. You will work collaboratively with the Recruitment team, to provide a seamless customer journey for new and existing publicans, ensuring full compliance to the Pubs Code and driving tenure targets.
Key responsibilities:
Providing a first-class service new and existing publicans
Accurate administration of the new tenancy agreement process
Ensuring adherence to company policy and the Pubs Code
Updating financial system to maintain customer details, rent schedules and agreement information within agreed timescales
Instruct and liaise with solicitors on leasehold or supplemental lease cases
Daily contact with Regional Managers to progress through to completion
Work closely with the division to ensure short terms agreements are converted to substantive tenancies, as per divisional target
Complete ad-hoc tasks/projects as determined by the business
Carry out inductions for new Regional Managers and other internal departments
Skills, Experience & Qualifications:
Evidence of administration experience and accurate working
Experience of updating office and administrative systems and of suggesting or implementing improvements to existing ones
Attention to detail and the ability to manage the production of documents critical to the business
The ability to prioritise own workload
Experience of timely and accurate updating and maintenance of company databases
Ability to communicate information effectively to a wide range of internal/external contacts
Demonstrate good competency in Word, Excel and Outlook
Understand, embrace and deliver the company’s vision and values
Calm, well organised and a self-starter
Excellent planning and organisation skills and the ability to respond effectively to constantly changing priorities
Fully supportive of team working – recognises when colleagues are faced with a problem or over-stretched and does not wait to be asked before offering assistance
Highly developed interpersonal and communication skills in order to establish and maintain effective working relations with a wide range of internal and external contacts
Willingness to learn and adopt new ways of working with a positive attitude and approach to improve departmental efficiency
