Position: Performance Coordinator
Contract: Initial 3-Month Contract (Opportunity to Extend)
Hours: Full-Time, 40 hours per week (Monday - Friday, 9:00 AM start)
Start Date: 16/09/2024
Location: UK (Security Clearance Required)

About the Role:

This is an exciting opportunity for a dynamic, digital-savvy multi-tasker to join our team as a Performance Coordinator. In this role, you will be responsible for extracting CAFM (Computer-Aided Facilities Management) data, preparing and managing various operational reports, and supporting the performance team. Your attention to detail, ability to manage data, and skills in report creation will be vital to the success of our operations.

This is a temp-to-perm position, offering you the potential to transition into a permanent role based on performance.

Key Responsibilities:

* Conduct weekly performance reviews, interfacing with Operational heads to ensure key dates, targets, and metrics are met using data from the CAFM system.

* Build strong relationships with Operational, Projects, and Technical Service heads to ensure contract quality and performance standards are maintained.

* Perform mitigation reviews and support operational teams in taking appropriate actions.

* Write and support both internal and external reports, ensuring accuracy and timeliness.

* Manage data reports in core Maximo or a similar CAFM system.

* Assist in planning and monitoring Maximo and other digital tool development projects.

* Support the performance team in creating and uploading reports to the electronic management system.

* Automate report processes as part of ongoing development work.

* Maintain digital filing systems, including SharePoint.

* Coordinate training workshops for Operational teams and assist with new starter onboarding.

* Provide administrative support to the performance team, including meeting note-taking.

* Conduct performance analysis and audit work order data to improve quality.

* Organise new projects, including Maximo reporting upgrades via Power BI tools.

* Create Excel performance tables, monitoring all work orders (reactive, planned maintenance, etc.).

* Input cleansed data into regular reports such as daily operations analysis, and monthly and quarterly contract reports.

* Prepare and template regular report sets.

* Coordinate and manage administration for large meetings and workshops.

* Liaise with business stakeholders to gather data and other necessary information.

* Perform ad-hoc administrative duties as required.

What You’ll Need:

* Experience working in a Facilities Management environment.

* Proficiency in Maximo or a similar CAFM system.

* A strong background in administration, with a focus on accuracy and quality service.

* Previous experience in a reactive, fast-paced role.

* Advanced knowledge of Microsoft Office, including Word, Excel, Outlook, Power BI, and PowerPoint.

* Eligibility to obtain SC Security Clearance (must have been living in the UK for the past 5 years).

Note: Security Clearance is mandatory for this role.
