My well known school based in Ickenham is requiring a Cover Manager/Supervisor to join their team.

Work pattern: 37.5 hours per week, Term time plus 5 INSET days (38.6 weeks /193 days). 
Salary information: Grade 5, Point 12, £26,716 per annum 
Hours of work: Monday - Friday, 7.00am  -  3.00pm   This is inclusive of a half an hour unpaid lunch break.

Cover Management

● To ensure cover is organised on a daily basis and that disruption to students’ learning due to staff absence is minimised.
● Be the first point of receipt for completed staff absence forms and circulate to SLT.
● Maintain a diary and SIMS cover 7 package showing anticipated teaching staff absence. Alert the Assistant Headteacher if requests cannot be reasonably accommodated.
● Download daily unexpected staff absence messages from voicemail, add absence to list and arrange subsequent cover.
● Plan the deployment of cover staff – cover supervisors, supply teachers and in-house staff – to ensure all classes are covered.
● Contact supply teachers and supply agencies to engage short term teachers within the constraints of established policy.
● Contact supply agencies to recruit long term supply teachers and negotiate rates of pay.
● Collect, collate and maintain a file of written confirmation from agencies providing all DBS
disclosure information and overseas police checks.
● Prepare the daily cover sheet and display in the staffroom before 8.00am.
● Sign off supply claim forms and pass to Finance dept.
● Book external cover when required and inform Finance of arrangements and authorised timesheet.
● Make any necessary emergency cover arrangements during the day in the event a teacher becomes unavailable at short notice.
● Liaise with Data Support Officer to re-claim costs incurred through staff development.
● Liaise with Finance Officer on supply budget issues. Check and agree agency invoices.
● Liaise with Examinations Officer over cover requirements during exam periods. Plan, record and communicate necessary room changes.
● Build and maintain good relationships with agencies to ensure good quality staff are employed.
● Provide weekly / monthly / termly statistics on absence and cover for SLT.
● Keep up to date on legislation regarding cover issues in schools.
● Produce any additional data about staff absence and cover statistics that might be reasonably required.
● Record support staff absence on SIMS.
● Working in conjunction with HR / Office Manager maintain records of support staff absence and
prepare a monthly illness report for Finance.
● To undertake other administrative duties as may reasonably be required from time to time.

Line Management

● Formal line management of up to 3 cover supervisors. This includes conducting annual
appraisals, target setting and carrying out a mid year review
● Meet with each cover supervisor informally on a fortnightly basis to discuss any issues of
concern and to protectively seek resolution of these, or raise them formally with the AHT with
responsibility for cover.
Learning Supervision
● Supervision of classes in the case of teacher absence, including taking an attendance register
in line with established school policy.
● To provide instructions to students with regard to pre-set cover activities as provided by the
absent teacher or Subject Leader.
● To assist students in developing their knowledge and skills through use of the pre-set work and teaching resources provided. To respond to questions from students in order to create a constructive learning environment
● To provide consistent support to students, recognising and responding to their individual
needs. To use the seating plan supplied to deliver appropriately differentiated work (supplied by teaching staff).
● To effectively liaise, as may be required, with any learning support staff assigned to students in the class.
● To supervise students undertaking self-directed learning and to facilitate peer assessment of work within the class where this is part of the cover work set.
● To support the use of ICT in cover lessons as may be required, developing students’ competence and independence in its use.
● To encourage students to interact and work cooperatively with others in the class and ensure that all students are engaged in the lesson.
● To build and maintain supportive relationships with students, treating students consistently and
with respect and consideration. To encourage the acceptance and inclusion of all pupils.
● To collect students’ work at the end of each lesson and ensure it is returned to the class teacher / Subject Leader as required.
● To report back to the class teacher / Subject Leader on any issues that arose during the class.
To provide objective feedback on student progress, achievement and conduct during the lesson.
● To keep / update records on students as may be required by teaching staff.
● To develop and maintain constructive relationships with teaching staff and Subject Leaders in relation to lesson cover / pastoral issues / student behaviour and conduct.
● To promote positive student behaviour in the classroom, dealing promptly with conflicts and
incidents and to encourage students to take responsibility for their own behaviour.
● To supervise and manage student behaviour in the classroom, in line with the school’s
behaviour policy, logging incidents on SIMS as required.
● To deal with any immediate problems or emergencies that may include in the cover class, in
line with established school policies and procedures.
● To ensure that classrooms are left clean and tidy after cover lessons and that any allocated
teaching materials / resources are safely stowed / stored.
When no teaching cover is required:
● Provision of other in-class support / intervention, including supporting individuals or small
groups as may be required by teaching staff.
● Provision of exam invigilation duties.
● Provision of administrative, clerical and other support to the school.
● Provision of supervisory and/or administrative assistance relating to extra-curricular activities
● To attend twice weekly briefing meetings and other whole staff communication meetings as may be required.
● To be aware of, and work in accordance with, the school’s child protection policies and
procedures and to raise any concerns as may be noted during the course of fulfilling these duties.
● The postholder may also be required to carry out other duties appropriate to the post, as
negotiated with the Subject Leader / Year Leader or other senior staff

Essential:
▪ A good all round level of cross-curricular education, in order to effectively cover lessons across
the whole school.
▪ Ability to supervise and manage groups of children and young people with confidence.
▪ The ability to motivate and influence students.
▪ Excellent interpersonal / student liaison skills.
▪ A positive attitude towards children and young people, including the ability to demonstrate and
promote positive values, attitudes and behaviour
▪ Proven successful experience of working in an office environment
▪ Good standard of numeracy and literacy
▪ Be able to work both independently and collaboratively with colleagues across the organisation
▪ Can show initiative, especially in resolving problems
▪ Calm, patient and professional.
▪ Able to work under pressure and prioritise work in a busy school environment.
▪ Organised, capable of delivering work accurately and to deadlines as required.
▪ Able to represent the school effectively.
▪ Good standard of IT skills (Google Sheets/Docs/Classroom/Slides and email).
▪ Experienced at dealing with confidential information, and able to treat that information with
discretion.

Desirable:
● Previous experience of working within an educational establishment.
● Previous experience of working with secondary age children.
● NVQ3 qualification for teaching assistants or equivalent qualifications or experience.
● Detailed knowledge of particular curricular areas or key stages
