Finance Assistant
Reporting To: Financial Controller
Hours: 22.5 hours per week

Job Purpose
The purpose of this post is to work, under the direction of the Senior Finance Officer and Finance Manager and to provide various accounting functions to support the financial reporting within deadlines set.
Key Responsibilities
Management Accounts: Assist in preparation and processing of documentation to support the production of monthly Management Accounts, including preparing and posting of journals, resolution of queries, bank reconciliations, nominal analysis and other duties such as:
* Processing Direct Credits
* Reconciliation of weekly Takings & Bankings
* Processing CTR Receipts
* Reconciling Petty Cash expenditure
* Processing Kitchen (Lunch Income) receipts
* Run SAGE backups
* Daily management of the Finance Department’s email account and coordination of communications from suppliers and customers.
* Processing Lottery Standing Orders and weekly Draw Returns import using SAGE & Filezilla
* Processing Royal Mail OBA Invoices, record and submit meter readings monthly.
* Supporting and completing month-end tasks
* Monthly Asset Depreciation
* Processing Retail Gift Aid Claim quarterly
Payroll: Downloading monthly timesheets from, processing and updating monthly payroll spreadsheet, and dealing with payroll queries.Sales ledger: Raising sales invoices on Sage, monthly reconciliation of aged debtors. Monitoring and following up outstanding balances.
Purchase ledger: Maintain accurate purchase ledger records. Ordering of goods via Amazon/EBay using company credit card. Raise PO numbers (along with other members of finance team – when necessary)
Other: Provide cover for a Finance Assistant, when necessary, to ensure the smooth running of the Finance Department to meet deadlines, as considered appropriate by the Senior Finance Officer and the Finance Manager
Set up bank payments as required by Senior Finance Officer and /or Finance Manager
Liaising with suppliers/staff to resolve queries
Answering the phone and responding to emails
Assist the Senior Finance Officer and Finance manager with data collection and analysis in support of the annual external audit
Assisting with various ad hoc tasks and administrative duties as required.
Other Responsibilities
Follow established procedures and policies.
Utilise automated practices and progress the accounting software and practices wherever possible to maximise efficiency and minimise administrative duplication.
To ensure a working knowledge and understanding of all computer applications necessary to the day-to-day functioning of this role within the Finance Department;
Complete any data submissions or paperwork associated with the role, including but not limited to: activity and performance info, reports, timesheet verification, rostering, absence records, annual leave information, stock order forms and communications.
Maintain personal and professional competencies and development. Make changes to own practice where required and offer suggestions for improving services where appropriate.
Undertake surveys/audits as necessary in areas of work within the realms of this role within finance.
Undertake project work as required by the Finance manager and/or Senior Finance Officer to identify potential cost savings/growth opportunities and/or implementing improved working practises
Ensuring compliance within the finance team in relation to data protection and GDPR.
To liaise with members of the Directorate Team, other Hospice staff and with external organisations as appropriate.
To carry out duties and responsibilities in compliance with Hospice policies and procedures, current legislation and codes of conduct as applicable.
To maintain good public relations and promote the Hospice philosophy of care.
To undertake such other duties and responsibilities commensurate with the grading and nature of the post.
Education/Training Responsibilities
To provide support in the form of training/mentoring, to other team members as appropriate.
To identify Training and Development opportunities, in conjunction with your manager, and participate in personal training as may be necessary to meet the duties and responsibilities of the post.
